Job Description

POSITION OVERVIEW

Working independently with some guidance from the Linehaul Manager, the position is responsible for all of the administrative functions required by the Linehaul Division. The position is also responsible for producing detail operational reports for both the Linehaul Manager and the General Manager, from a variety of databases. The position is responsible for efficiency and effectiveness of own work and has considerable impact on short-term operations in his/her work area and some other departments. Has slight impact on the efficiency of long-term operations.

 

KEY RESPONSIBILITIES

 

 

% Time

Administers and oversees the fleet records for the owner-operators and company equipment

  • Maintains owner operator maintenance, wcb and dangerous goods records
  • Maintains fleet CVI records
  • Answers queries and resolves issues.

Provides operational data and reports to management

  • Generates routine statistical reports as required
  • Generates daily and monthly departmental reports
  • Completes dept. KPI reports

Administers the fleet licensing and insurance program for both Linehaul and DSD operations

  • Maintains database and insurance certificates on file and provides information as required.
  • Liaises with our Insurance provider to execute all renewals and ongoing transactions

Administers fuel program for both Linehaul and DSD operations

  • Maintains fuel card records for fleet
  • Codes all fuel billings to appropriate departments
  • Provides fuel consumption data to management
  • Oversees Fuel Surcharge Program

General Duties, as required

  • Liaises with drivers as needed
  • Assist in order creation / billing in TMW system
  •  Assist dispatch operations as needed

  • Some requirement to travel for business purposes during a work day
  • The level of challenge corresponds with carrying out actions that are somewhat varied and non-routine
  • Deadlines require flexibility and the ability to set appropriate priorities
  • Some shifting of priorities or tasks done in an manageable fashion

 
Skills and Qualifications

REQUIRED QUALIFICATIONS

 

Bachelor Degree or specialist certificate/diploma plus 2 to 3 years experience, or at least 4 or 6 related experience

 

JOB SPECIFIC SKILLS, KNOWLEDGE & COMPETENCIES

  • Some judgment is required to choose from a variety of alternatives to determine report configuration and data sourcing
  • Problem solving involves independent analysis of readily available facts, analytical capability is required to interpret information requests and convert them into meaningful reports
  • Creative problem solving involves independent thinking and analysis/artistic flair required to deal with existing methods
  • Provides input on priorities and policies directly affecting their role
  • Verbal and written communication skills are required to deal with information that is typically detailed and subject to interpretation with the purpose to advise, guide, influence or acquire resources
  • Experience with database programs and language (Access or similar) and/or transport operating systems (TMW or similar) is required
  • Attention to detail is required to insure accuracy of performance and activity reports, payroll, and owner operator compensation
  • Working knowledge of MS Excel and Word
